Personal Assistant

An exciting opportunity has arisen at White Brothers Limited for a Personal Assistant to join their team and provide operational support to the organisation. The selected person will be reporting directly to the Managing Director and will be working closely with the Manager – Corporate Services.

 

The company’s core activities include clearance, handling and delivery of cargo, including heavy lifts and machinery removals, storage and project procurement, and freight forwarding activities.

The ideal candidate will be responsible for:

  • Organising and maintaining the Managing Director’s diary and making appointments;
  • Screening phone calls, enquiries, requests, e-mails and post;
  • Devising and maintaining office systems, including data management and filing;
  • Supervising the overall office administration to ensure that the office environment and office supplies are well managed together with the Manager – Corporate Services;
  • Liaising with clients, suppliers and staff;
  • Carrying out background research and presenting findings, when necessary;
  • Producing documents, briefing papers, reports and presentations, when necessary;
  • Organising and attending meetings, in the absence of the Manager – Corporate Services, and taking meeting minutes;
  • Being the logistical point of contact on the Managing Director’s behalf, managing contracts and services, such as insurance and,
  • Establishing, implementing, communicating, and maintaining the organisation’s quality assurance policy, procedures, processes in compliance with ISO requirements.

 

The ideal candidate will have:

 

  • At least three years of work experience working as a PA ideally in a similar environment;
  • Excellent communication in Maltese and English;
  • Exceptional organisational skills;
  • The ability to communicate with various stakeholders;
  • Proficiency of ISO systems will be considered as an asset;
  • Knowledge of HR practices will be considered an asset; and,
  • Knowledge in the Shipping and Freight Forwarding sector will be considered an asset.

 

A flexible and organised approach with the ability to work in a team as well as independently are essential criteria for this position.
